Your stock lives in a spreadsheet, the bill of materials lives in one person's head, and Xero only learns what a job cost when the invoice arrives. Devvista is a software development and growth agency and an official Odoo partner that sets up Odoo as an ERP for small UK manufacturers, working remotely, covering stock, bills of materials, work orders and costing, and the move off Xero, Sage or QuickBooks.

Below: what an ERP for manufacturing must do, what Odoo covers, how it compares with MRPeasy and Business Central, and the steps to switch. Prices and a worked example are in the ERP cost guide.

The problem: nobody can say what a job cost until the invoice arrives

A customer wants a price on a repeat order. The bill of materials is in a spreadsheet one person maintains, component prices are in last month's emails, and the stock figure is whatever the last count said. You win the work, then find on the day that a part is short. Xero or Sage shows the sale and the supplier bill, but not why the margin came out lower than quoted.

The firm has outgrown the spreadsheet, but an accounts package was never built to run a workshop. The fix is one system that holds products, bills of materials, stock, purchasing, work orders and costs together, so every number is typed once and every job can be compared with its quote.

Why accounts software and spreadsheets break on the shop floor

Accounting software records money after the event. Production needs to know what is about to happen. Four causes sit behind most of the pain.

  • No bill of materials in the books. Xero, Sage and QuickBooks know a sale and a purchase, not that one item consumes six components and forty minutes at the saw.
  • Stock is a number, not a trail. Without lots you cannot say which batch went into which order.
  • Costs arrive late. Labour hours are on paper and price changes are not applied.
  • Every department keeps its own copy. Sales, purchasing and the workshop each keep their own file.

Self-check: if you cannot name the stock of your top ten components without walking to the racks, the cause is stock records. If quotes miss on margin, it is costing. If a batch query takes an afternoon, it is traceability.

What an ERP for a small manufacturer must do, and what Odoo covers

This is the checklist we use to assess a workshop. The right-hand column comes from the Odoo version 19 documentation; anything not listed there is configuration, an add-on or custom work, and the scope says which.

What the workshop needsWhat Odoo documents
Bills of materialsA BoM lists components and quantities and can include operations. Multilevel BoMs, kits and by-products are covered (BoM docs).
Work orders and work centresOperations link to a work centre with a duration, hourly cost, capacity and OEE target (work centre docs).
Shop floor screensShop Floor gives operators a visual interface for work orders, with sign-in, time tracking and quality checks (Shop Floor docs).
PlanningA master production schedule suggests replenishment from a forecast and stock targets, but does not create the orders (MPS docs).
Lots and traceabilityTracking by lot, a lot number required on receipt, and a Traceability button showing a lot's stock moves (lot docs).
Job costingAn estimated order cost from the BoM, and a separate real cost using actual time and each employee's hourly cost (MO cost docs).

One caution. The lot page documents the stock-move report for a lot. Whether that gives the full component-to-batch genealogy a customer audit expects is something to test in a demo with your own data. Odoo's manufacturing app page describes tracking components and making in lots or serial numbers.

Seven steps to move a workshop from spreadsheets to an ERP

  1. List every spreadsheet, whiteboard and paper form and who updates it. This list is your scope and your end check.
  2. Write down the bill of materials and routing for your top products. Start with the products that earn most. Components, quantities, operations and a time per operation are enough.
  3. Count stock and fix units of measure. Decide whether a component is bought by the sheet and used by the square metre.
  4. Choose a first scope. A typical first release is Manufacturing, Inventory, Purchase and Sales, with accounting following depending on the Xero decision below.
  5. Run one product end to end in a test database: quote, order, work orders, finish, deliver, invoice.
  6. Train shop floor users on real orders, not a demonstration company.
  7. Run in parallel for one cycle, then switch at the start of a period such as a VAT quarter, so no return straddles two systems.

Hours and weeks for these steps are on the ERP cost guide.

Moving off Xero, Sage or QuickBooks without losing your books

Three routes work, depending on how much your accountant wants to change.

  • Keep your accounts package and add Odoo for operations. Odoo handles products, stock, production and purchasing; Xero or Sage stays the ledger. This is the smallest change, but it needs a clean way to pass invoices and bills across. We have not verified a specific Odoo connector for Xero or Sage, so ask any partner to name theirs and show it working.
  • Move the ledger to Odoo at a period start. Odoo's accounting settings allow you to import opening balances, and its UK localisation includes a chart of accounts ready for VAT100 and CT600 reporting, a Making Tax Digital VAT module and BACS payment files (Odoo UK documentation).

QuickBooks Desktop has its own quirks, covered in our guide to moving from QuickBooks Desktop to Odoo. Run both briefly, reconcile the trial balance, then keep the old package read-only.

Odoo, MRPeasy or Business Central: an honest comparison

Three products come up most often. The figures are what each vendor's own page showed on 25 October 2026. Check them again, because prices change and none includes implementation work.

ProductWhat the vendor saysPrice shownNatural fit
OdooAll apps on the Standard and Custom plans. Implementation is not included (Odoo pricing).US dollars per user per month: Standard US$ 8.95 and US$ 11.20, Custom US$ 16.40 and US$ 20.90 (two figures per plan on the page). No pound prices shown.Firms that want manufacturing, stock, purchasing, sales and accounting on one system, with room to customise.
MRPeasyMRP software for small manufacturers, ideal for 10 to 200 employees; lists Xero and QuickBooks Online integrations (MRPeasy pricing).$49, $69 and $99 per user per month on three plans (currency not named). Quality control and serial numbers start at the $69 plan.Firms that want a focused MRP tool and plan to keep their accounting package.
Business CentralCloud ERP for small and midsize businesses, sold and supported through Microsoft partners (Microsoft pricing).£61.50 (Essentials) and £84.60 (Premium, which adds manufacturing) per user per month, excluding VAT, paid yearly.Firms already built around Microsoft 365 who want a single supported platform.

MRPeasy is built around manufacturing and may be all a firm needs if the accounts stay in Xero. Business Central shows pound prices and has a partner network. Odoo's licence looks cheaper per user, but breadth brings more decisions. We implement Odoo, so weigh our view accordingly and ask for a demo of each.

How to measure whether the ERP is working

  • Stock accuracy: count 20 components monthly and track the share matching the system.
  • Quote versus actual margin: compare the estimated and real manufacturing order cost on each job.
  • Late orders: orders shipped after the promised date, per month.
  • Time to answer a batch question: pick a delivered lot and time how long listing its components and customers takes.
  • Spreadsheets retired: check against the list from step one.

Record each number before go-live.

Mistakes that sink small manufacturing ERP projects

  • Loading every historic product and supplier, which doubles the clean-up. Load what you will use next quarter.
  • Skipping routings, then wondering why nothing schedules.
  • Leaving purchase prices unmaintained, so estimated cost drifts from real cost.
  • Customising before trying standard Odoo. Our guide to Odoo customisation explains why configuration comes first.
  • Choosing on licence price alone. The Odoo pricing guide shows where costs sit.

Remote partner, no UK office: what you can check before you commit

UK buyers often prefer a partner down the road, and that is a fair instinct. Devvista has no UK office, address or phone number, and works by video call and screen share. Our Odoo projects are under NDA, so we cannot name clients. These checks are worth making on any partner.

  • A written scope with phases and a fixed estimate before the build. Our Odoo implementation method gives you a scope document and fixed-scope estimate after a fit-gap analysis.
  • An anonymised walkthrough of similar work and, where a partner can arrange it, a customer you can speak to.
  • Who owns custom code. On our custom software work, the page states you own the source code, design files and documentation on completion and final payment.
  • How the partner status can be confirmed and who your named contact is.

Is Devvista the right partner for your workshop?

Good fit: a manufacturer or fabricator with roughly 10 to 150 staff on Xero, Sage or QuickBooks plus spreadsheets, with an owner or operations lead who can give the project a few hours a week. Not a fit: a business that needs an on-site team at its premises, or one that only wants a boxed MRP. MRPeasy may serve you better.

Devvista is a software development and growth agency that implements Odoo for small UK manufacturers, covering bills of materials, work orders, stock and costing, data migration from Xero, Sage or QuickBooks, and custom tools around Odoo where the standard apps stop. If part of your work is installation on construction sites, the construction ERP page covers CIS and valuations. You can also hire Odoo developers if you already have a system, or return to the UK hub.

There is no single best product. MRPeasy is built for small manufacturers, Business Central suits firms built around Microsoft, and Odoo suits firms that want stock, production, purchasing and accounting in one database with room to customise. Shortlist two and test each with real bills of materials.

Plan on roughly four to five months for a single-site firm that is also moving its accounts, as an estimate rather than a promise. ERP Research reports go-live of 1 to 4 months for Odoo and a median of 6 months across 82 case studies of all ERPs. Our timeline is on the cost guide.

Odoo documents bills of materials, work orders, work centres, lots and costing, which are the needs of a small workshop. Its pricing page points firms under 50 staff to Success Packs for set-up help. A fit-gap review shows how standard your process is.

No. You can keep your accounts package and use Odoo for operations, or move the ledger to Odoo at the start of a VAT period. The first route is a smaller change but needs a reliable link between the two systems, which you should see working before you sign.

There are two parts: the licence paid per user and the implementation paid to a partner. Our ERP cost guide works through a pound example with every hour count labelled as an assumption. A quote that shows only a licence price leaves out the larger part.

MRP plans materials and production: what to buy, what to make and when. An ERP adds sales, purchasing and accounting on the same data. A firm that keeps its accounts elsewhere may only need MRP, while one tired of re-keying orders into three systems usually wants the wider ERP.

Odoo tracks products by lot and shows a lot's stock moves through a Traceability button, per its version 19 documentation. Full component-to-batch genealogy for a formal audit should be tested with your own products before you rely on it.

Odoo's Shop Floor module gives operators work orders, sign-in, time tracking and quality checks. The documentation describes installing it as an app in the Chrome browser and does not mention tablets, so test it on the devices your team will use.

Do not take it on trust. Ask for a written scope with a fixed estimate, an anonymised walkthrough of similar work and the terms on code ownership, then judge the answers. Our Odoo projects are under NDA, so we show examples on a call rather than naming clients.
