NDIS Marketing Agency for Brisbane and Queensland Providers: Cover the Regions You Can Staff

A region-by-region plan for registered Queensland providers: which councils deserve their own page, how to set up Google for a service area, and how to track referrals so staff time goes where you can deliver.

On the call we cover
  • Your current system and what has to change
  • The deadlines and rules that apply to you
  • A step-by-step plan with timeline
  • A clear scope and cost range
Book a Call

You are based in Brisbane, but enquiries arrive from Ipswich, Logan and the Gold Coast, and half your workers live in a different council area from the participants who call. Queensland NDIS marketing works when each region you can actually staff gets its own page, Google setting and referral tracking, instead of one "Brisbane" page stretched over a state.

Devvista is a software development and growth agency that builds websites, local SEO and referral CRMs for registered NDIS providers in Queensland, working remotely with no office in Brisbane or anywhere in Australia. Below: where the participants are, a five-step fix, what the rules mean for your records, what to measure and what to ask any agency.

Where Queensland's participants live, and why Brisbane is not the whole market

The NDIA publishes participant numbers for each local government area. At 30 June 2026 the largest Queensland councils looked like this (NDIA participant datasets, participants by LGA file):

Council areaParticipantsWhat it means for your marketing
Brisbane30,262Biggest pool. Suburb clusters only where workers live.
Moreton Bay19,140A separate council. Own page, not a mention.
Gold Coast17,168Its own referrers. Own page.
Logan14,578Check overlap with southern Brisbane before splitting.
Sunshine Coast10,988Page only if workers are there.
Ipswich10,236Larger than Townsville or Cairns alone, easy to overlook.
Townsville7,165Page only with workers there.
Cairns4,983Page only with workers there.

The first six councils add up to 102,372 participants, about 61% of the Queensland total in the same file (our calculation from the published cells). Townsville and Cairns add another 12,148. Participant numbers show who might search, not whom you can serve. Toowoomba (6,281) and Redland (5,654) sit just outside this list.

Why Queensland providers lose enquiries they could have won

Queensland is far bigger than the area most providers can staff, and that mismatch causes most of the leaks. Check which of these sounds like you:

  • If your site has one page headed "Brisbane" and nothing else, the cause is that Moreton Bay, Logan and Ipswich searchers see a page that does not mention their area.
  • If calls come from councils you do not cover, the cause is a vague service area.
  • If you cannot say how many enquiries came from each council last quarter, the cause is no region field anywhere, so you cannot tell where to hire or advertise.
  • If an enquiry waits for someone to check worker availability, intake and workforce are tracked in different places.
  • If a worker's clearance expiry lives in one person's calendar, the cause is a single point of failure that also becomes a compliance problem.

None of these needs a large budget, only a region list, a few honest pages and one place to record where each enquiry came from. National advertising rules still apply on every page: see NDIS provider marketing, which we do not repeat here. For the difference between ranking in one area and everywhere, read local SEO vs national SEO.

Fix it in five steps: from region list to started service

This order works for a provider with one base and a spread of participants.

  1. Sort councils into core, reach and not yet. Core means workers live there and you can start within a few weeks. Reach means you can serve some supports with travel. Not yet means you cannot, today.
  2. Write one page per core region, with content only that region can have. Which supports you deliver there, who the workers are in general terms, and how referrals reach you. A Moreton Bay page that is the Gold Coast page with a new heading is a thin, near-duplicate page that search engines can treat as a doorway page. If you cannot write 300 words specific to a region, do not publish the page yet. See NDIS website design and SEO for NDIS providers.
  3. Set up your Google Business Profile as a service-area business. Google says to define areas by city, postcode or another area type, up to 20 of them, not by a radius; to remove your address if you do not serve customers there; and that a service-area business cannot list a virtual office unless it is staffed during business hours (Google help, Business Profile guidelines). Separate service areas with separate staff at each location may have one profile per location.
  4. Record the region and referrer on every enquiry. Add council area, how they heard of you, and referrer fields. See NDIS CRM and referral tracking.
  5. Put worker availability next to the pipeline. For each core council, list the workers who could take a new participant and when their clearance expires. When an enquiry arrives from Logan, whoever answers can see in one minute whether the answer is "yes, from the 12th" or "not yet".

If you can only do one thing this week, do step 4. Without region data, the other four steps are guesses.

A worked example: Logan, Ipswich and Redland from one base

Say a therapy provider is based in Logan, with workers living in Logan, Ipswich and Redland. By the NDIA file those councils hold 14,578, 10,236 and 5,654 participants, a combined 30,468, and the provider has one "Logan" page.

Assumptions (ours, for illustration, not data): 40 enquiries a month from the three councils, 25% reach a signed service agreement, and better replies and region pages lift that to 30%. That is 10 signed agreements a month rising to 12, two more. Check it against your own enquiry log in a quarter; if you do not know your signing rate, step 4 is how you find out.

Set up the Queensland pipeline so a call can answer in one minute

Each enquiry record should hold:

FieldWhy Queensland needs it
Council area and suburbDecides core, reach or not yet before anyone books a call
ReferrerShows who sends work from which region
Earliest start by workerTurns "we will call you back" into a date
Worker clearance expiryOne list, one owner, a reminder before expiry
Lost reason"Out of area" and "no worker available" are different hiring signals

If you are searching for NDIS software or NDIS compliance software in Brisbane, separate the jobs first. Rostering, claiming and incident reporting are usually bought as packaged products; Devvista sells none. We build the part around them: the enquiry pipeline, region reporting, reminders and automation that moves data between your systems. Read more on our CRM development and AI and automation pages, or Odoo implementation if you want one system to hold more of it.

What Queensland rules and data mean for your website and records

We state what each source says and nothing more. None of this is legal advice: take advice from your auditor or adviser.

Worker screening

Business.gov.au says a Queensland disability worker screening clearance applies to people engaged by a state-funded or registered NDIS provider, that the NDIS clearance lasts 5 years and the state-funded clearance 3 years, and that the administering agency is the Department of Justice (Business.gov.au).

The Queensland Worker Screening fees page lists, as current at 1 July 2026, $161.30 for a paid worker's NDIS clearance (5 years) and $176.30 when combined with a Blue Card. It says fees usually rise each 1 July and can change (Queensland Worker Screening fees). Budget it per hire and check the page before you quote it to a candidate.

On timing, the unit gives no processing timeframe. It says the employer has 30 days to verify an application, that Queensland supports a "No card, no start" approach, and that the card should arrive within 28 days of the clearance being issued (processing timeframes). So a promised start date to a family depends on a clearance, not on your rostering.

Registered NDIS providers have automatic access to the NDIS Worker Screening Database through the NDIS Commission Portal. The Queensland Employer Portal is for state-funded organisations (employers page). From 12 October 2026 the NDIS Commission says registered providers do worker screening in its new portal (NDIS Commission).

For the website: never publish worker names or clearance details. Do not write "all our staff are screened" unless your records show a current clearance for every worker, and have your adviser check the wording. A recruitment page should tell applicants plainly that a clearance will be needed and who starts the application.

Restrictive practices

The Queensland department publishes a page headed "Reforming the use of restrictive practices". We do not summarise its content here. If you provide behaviour support, read it directly and ask your auditor. Keep public pages general.

First Nations participants

In the NDIA files, Queensland has 18,914 First Nations participants at 30 June 2026. That is 11.4% of its participants, against 3.9% in Victoria and 10.2% in New South Wales (our calculation from the NDIA First Nations and LGA files). For the website: plain language, Easy Read versions, a phone option, and a description of how you work with families and communities that you can back up.

Thriving Kids

SBS reported on 1 October 2026 (updated 2 October) that Queensland had not signed the bilateral funding deal with the Commonwealth (SBS). As at 2 October 2026, Queensland had not signed its bilateral funding agreement. We found no later report of a signing, which is not confirmation either way. Re-check before relying on this: it can change. If you serve children, do not promise what the program will mean in Queensland.

What to measure, by region

Track these monthly, split by council area for your core regions:

NumberHow to find itWhat a bad result means
Enquiries by councilCRM region field or a simple sheetOne council sends most of them: your other pages are not working, or you have none
Out-of-area shareLost reason "out of area"Your service area is vague on the site or Google
Signed agreements per councilPipeline stage SignedGood enquiry volume, poor conversion: availability, not marketing

Review after 90 days of a page being live. We promise no rankings or participant numbers.

What to ask any NDIS marketing agency in Brisbane, including Devvista

  • Where is your team, and what is your Queensland experience? Ours: Devvista works remotely, with no office, ABN, address, phone, team or clients in Queensland or Australia, so you would be our first. Our offshore versus onshore comparison sets out the trade-offs.
  • Will you contact participants or coordinators for us? The answer should be no. Inducements and pressure on participants are covered in our provider marketing guide; ask your auditor.
  • Do you write different pages for each region, and who supplies the facts? One template for every region means duplicate content. See how to choose an SEO agency.
  • Who owns the website, Business Profile and CRM data? It should be you, with logins in your name.
  • Will you promise rankings or participant numbers? If yes, walk away.
  • How do you handle ads and participant data? Our Google Ads guide lists what to check.

Is Devvista the right fit for your Queensland provider?

A good fit if you are a registered provider in Queensland with a base and a defined set of regions, you want a website, service-area SEO and a referral pipeline that your team runs, and you are comfortable with a remote team that works by scheduled video calls, a shared task board and a staging site.

Not a fit if you want someone local to visit your office, to approach participants for you, to buy referrals or to guarantee results. Devvista gives no legal, registration or auditing advice, and sells no packaged rostering or claiming product.

For cost, Devvista prices as a fixed price from USD 500 to USD 100,000 depending on complexity, or hourly from USD 10 to USD 100 depending on developer level and type of work. A project quote follows a written scope after a call; we publish no day rate. See also SEO services and WordPress development. If you also serve Victoria, our Melbourne guide covers a different set of local facts, and the Australia hub lists every guide.

Devvista is a software development and growth agency that works with registered NDIS providers in Queensland remotely. It has no Brisbane or Australian office, ABN, address, phone number or team, and no Queensland clients to show.

Devvista prices as a fixed price from USD 500 to USD 100,000 depending on complexity, or hourly from USD 10 to USD 100 depending on developer level and type of work, and a project price follows a written scope after a call. We bill in US dollars and publish no day rate.

Start with the councils where your workers live and you can start a service within a few weeks. By NDIA figures at 30 June 2026 the largest are Brisbane (30,262), Moreton Bay (19,140), Gold Coast (17,168), Logan (14,578), Sunshine Coast (10,988) and Ipswich (10,236),.

Google's guidelines say to keep a service area to roughly two hours of driving from your base, with up to 20 areas set by city or postcode. A business with separate service areas and separate staff at each location may have one profile per location. A provider with only a Brisbane base should not list Cairns.

Business.gov.au says a Queensland disability worker screening clearance applies to workers engaged by a state-funded or registered NDIS provider. Only write that staff are screened if your records show a current clearance for every worker, have your adviser check the wording, and never publish worker names or clearance details.

No. Devvista does not sell packaged NDIS rostering, claiming or compliance software. We build the enquiry pipeline, region reporting, reminders and automation around those tools, as custom software or on Odoo.

As at 2 October 2026, Queensland had not signed its bilateral funding agreement, according to SBS reporting dated 1 October and updated 2 October 2026. We found no later report of a signing, but this can change: check before telling families anything.

We do not promise rankings. Publish region pages, set up the Business Profile, and review enquiries by council after 90 days.

No agency should offer that. The NDIS Code of Conduct rules on inducements are summarised in our NDIS provider marketing guide, and your auditor can confirm how they apply to you. Track referral sources, and thank coordinators in words, never with rewards.
